Hotel Partnerships and Procurement Lead – Remote or San Diego Location

In this position, you will collaborate closely with our youth sports event sales and planning team, coordinating and executing exceptional stay-and-play events across the country.

Responsibilities

  • Negotiate, plan, and execute hotel room block agreements with hotels.
  • Secure concessions to meet revenue, points, and complimentary room minimum targets.
  • Communicate via phone and email with NSOs, CVBs, hotel sales representatives, vacation rental providers, and contracting companies.
  • Train and support contracting companies on software and contracting processes.
  • Conduct Go-Live calls with contracting partners and validate event inventory levels.
  • Analyze and develop event strategies related to projections, room consumption, blocking percentages, reservations per travel team, and complimentary rooms.
  • Provide event analytics for post-event analysis reports and renewal strategies.
  • Actively maintain partner relationships through strategy calls, partnership growth initiatives, event renewals, and partner expectation management.
  • Draft and review hotel contracts.
  • Input contract data into Athlete Travel software.
  • Train hotels on the use of booking software.
  • Ensure adequate hotel inventory levels for events.
  • Uphold contract terms, including room types, quantities, rate clauses, walk policies, and general discrepancies.
  • Take proactive steps for low-performing events by initiating conversations or actions as needed.
  • Clearly communicate and document strategies, tasks, and updates with internal departments.
  • Onboard new hotel markets and initiate or attend hotel market visits as needed.
  • Assist in creating detailed event contracting timelines, itineraries, and processes.
  • Support the team in managing event budgets and financial transactions.

Qualifications

  • Minimum of 2 years of experience in hotels, hospitality, or a related field.
  • Strong knowledge of the hotel industry and brand standards.
  • Ability to multitask and adapt in a fast-paced environment.
  • Highly organized with excellent attention to detail.
  • Advanced proficiency in Google Workspace (Sheets, Docs, Slides).
  • Fluent in English (reading, writing, speaking).
  • Excellent communication skills for interacting with event coordinators, hotel staff, and parents.
  • Strong negotiation skills to secure the best hotel agreements.
  • Self-starter who works independently with speed and accuracy.
