Join Athlete Travel as our Hotel Partnerships and Procurement Lead and play a key role in creating extraordinary travel experiences for youth sports families across the country. In this role, you’ll work alongside our event sales and planning team to coordinate and execute exceptional stay and play tournaments nationwide, sourcing, negotiating, and managing hotel room blocks.

Responsibilities

  • Negotiate, plan, and execute hotel room block agreements with properties nationwide.
  • Secure concessions to meet revenue, rewards points, and complimentary room targets.
  • Communicate by phone and email with hotel sales reps, NSOs, CVBs, and contracting partners.
  • Train and support contracting companies on our software and contracting processes.
  • Lead calls with contracting partners and validate event inventory levels with precision.
  • Analyze and develop event strategies for projections, room consumption, reservations per travel team, and complimentary rooms.
  • Deliver event analytics for post event reports and renewal strategy.
  • Maintain partner relationships through strategy calls, growth initiatives, event renewals, and clear expectation management.
  • Draft, review, and meticulously proof hotel contracts. Every rate, date, and clause must be exact.
  • Input contract data into Athlete Travel software with complete accuracy.
  • Train hotels on the use of our booking software.
  • Ensure adequate hotel inventory levels for every event.
  • Uphold contract terms, including room types, quantities, rate clauses, walk policies, and any discrepancies.
  • Take proactive action on underperforming events
  • Clearly communicate and document strategies, tasks, and updates with internal departments.
  • Onboard new hotel markets and initiate or attend market visits as needed.
  • Help build detailed event contracting timelines, itineraries, and processes.
  • Support the team with event budgets and financial transactions.
  • Continuously look for ways to improve workflows, including leveraging AI tools to increase speed, accuracy, and insight.

Qualifications

  • Minimum of 2 years of experience in hotels, hospitality, or a related field.
  • Strong knowledge of the hotel industry and brand standards.
  • Exceptional, unrelenting attention to detail. You double check, then triple check.
  • Ability to juggle dozens of contracts, events, and deadlines without dropping a single one.
  • Advanced proficiency in Google Workspace (Sheets, Docs, Slides).
  • Fluent in English (reading, writing, speaking).
  • Excellent communication skills for working with event coordinators, hotel partners, and team parents.
  • Strong negotiation skills to secure the best agreements.
  • Independent worker who operates with both speed and accuracy.
